Overview

Unify integrates with Salesforce to provide access to your CRM data and enable bidirectional syncs. This lets you:
  • Keep Salesforce in sync: Write people, companies, emails, and tasks back to Salesforce to maintain a record of your team’s work.
  • Respect engagement rules: Use Salesforce data to exclude current customers and companies with open opportunities from outreach.
  • Use CRM data in plays and sequences: Use Salesforce fields to identify prospects, trigger plays, and personalize outreach.
  • Work with Salesforce in chat: Find records and request updates using a connected Salesforce account.

How to connect

There are two ways to connect Salesforce to Unify:
Most teams should start with a workspace connection. Add user connections when reps should use their own Salesforce permissions for chat or automatic sync rules.

Prerequisites

Your Salesforce organization must support API access. The Salesforce account you connect needs API Enabled and permission to access the records and fields you want Unify to use. See Salesforce editions with API access.

Setup

You need permission to manage the Salesforce integration in Unify. Administrators have this permission.

Choose an integration user

Choose the Salesforce account Unify will use for shared syncs and other workspace operations. Its permissions determine which Salesforce records Unify can read and update.A dedicated integration user lets your Salesforce administrator manage Unify’s access independently and identify its activity in Salesforce. You can also use an existing account with the required permissions.Review the required permissions with your Salesforce administrator before connecting the account.

Connect Salesforce

Open Settings → Salesforce and click Set up Salesforce. If a user connection already exists, open the connection selector and choose Add workspace connection.Sign in with the Salesforce integration user you chose and authorize Unify. When you return to Unify, the page shows Workspace connection. Open the connection menu and select Details to confirm the connected email and Salesforce organization.

Review permissions

Click View Permissions to check the connected account’s access. Ask your Salesforce administrator to resolve any missing permissions, then click Refresh to check again.See Required permissions for the setup checks and access needed for your mappings.

Review field mappings

Field mappings determine which Salesforce fields correspond to Unify attributes, which values Unify reads and writes, and when existing values can be overwritten. You can also set default values for empty fields.Under Field mappings, click Edit mapping for each object you want to sync. Review the default mappings, adjust them for your Salesforce fields, and click Save.Mappings are shared by connections to the same Salesforce organization in your Unify workspace. See Field mappings for the available fields and write behaviors.

Review sync rules

Sync rules control when Unify creates or updates Salesforce records. Open Sync rules to choose which prospecting, sequence, email, and task events should sync and how people and activities are represented in Salesforce.For prospecting, Sync if already exists updates matching Salesforce records, while Sync also allows new records to be created. Choose Do nothing for events you want to leave disabled, then click Save.

Enable syncs

Turn on Bidirectional syncs once your mappings and sync rules are ready. Unify starts an initial sync of Salesforce data and synchronizes changes according to your configuration.See Bidirectional syncs for sync behavior and timing.

Troubleshooting

Ask your administrator to check Allow users to set up personal Salesforce connections in Workspace settings. Also check whether you already have a personal CRM connection; each user can have one at a time.
Select the affected connection and click Reauthorize. Sign in with the intended Salesforce account and complete authorization again.
Select Change user from the connection menu and authorize the correct account. Check Details afterward to confirm the email and organization.
Open the failed attempt in Sync log and review its error and connection. Correct invalid record values or ask your Salesforce administrator to resolve missing access for the connected account.Once the issue is resolved, choose Retry sync if available. Retrying requires permission to manage the Salesforce integration in Unify.
Disconnecting a workspace connection stops shared sync and automated actions that depend on it, and can disable dependent engagement policies. Review the confirmation before selecting Disconnect from the connection menu.Disconnecting a user connection removes that user’s Salesforce authorization from Unify. Operations that require it will need the user to reconnect.
